Terms and conditions

📌 1. Definitions

• ClashRooms: the trade name of ClashRooms Nederland BV.
• Booker: the person or organization making a booking.
• Participant: any person who participates in an activity at ClashRooms.
• Business booking: a reservation in the name of a company or organization.
• Private booking: a reservation made by a consumer.

📌 2. Reservations and payments

2.1 Private bookings

• Bookings will be confirmed after full payment in advance via the payment link which will be sent by e-mail.
• Additional costs, such as beverage refreshments and additional participants, will be on site by PIN or credit card settled at the end of the activity.

2.2 Business bookings

2.2.1 Bookings up to and including 20 people:

• Full payment in arrears via bank transfer, unless otherwise agreed in writing.

2.2.2 Bookings of more than 20 people:

• 50% of the total booking fee will be billed in advance and must be paid no later than 7 days prior to the booking date.
• The remaining amount, including beverage refreshments and any additional charges, will be billed after the event with a payment deadline of 14 days.

2.2.3 Other Provisions:

• By arrangement, payment is immediately afterwards by PIN or credit card possible. The booker is responsible for ensuring that the limit of the payment method used on the day of booking is sufficient to pay the full amount.
• Full payment on account is allowed only at a surcharge of € 30 administration fee per invoice, subject to prior written agreement.

2.3 Cancel or change

• Bookings can be made until maximum 96 hours prior to start free of charge be canceled or rescheduled.
• After this deadline, the booking includes the number of people final.
• Are there more than 2 persons than this final number less present, we will charge them.
• This also applies to bookings cancelled in their entirety after the 96-hour deadline.
• Are there more people than the agreed number present, then they can play along at the regular cost.

 
📌 3. Images

• Images (photos and videos) may be taken by ClashRooms staff during bookings.
• These images may be made available to the booker.
• In addition, ClashRooms reserves the right to post images on Social Media for promotional purposes, with the booker tagged in them.

📌 4. Alcohol and drug use

• Participation under the influence of alcohol or drugs is prohibited.
• Intimidating, offensive or disruptive behavior toward staff or other visitors is not permitted.
• In cases of misconduct, ClashRooms reserves the right to remove affected individuals immediately, without refund.
• Any damages or costs will be recovered from the person or group responsible.
• The police may be called in.

📌 5. Security, damage and theft

• Instructions from personnel should be followed at all times.
• In case of theft or wanton destruction, ClashRooms will do immediate declaration and damages are recovered.
• Lockers are available in the reception area for personal belongings. Use of these is at your own risk.
• ClashRooms is not liable for loss, theft or damage to personal property.

📌 6. Liability and excess

• Participation in ClashRooms activities is entirely on own risk.
• ClashRooms is not liable for bodily injury or property damage incurred during a visit, unless there is intent or gross negligence on the part of ClashRooms.
• ClashRooms makes every effort to provide a safe environment, but expects full cooperation from participants.

📌 7. Disclaimer

• The website www.clashrooms.nl has been compiled with care. ClashRooms may change information, such as prices and availability, at any time.
• No rights can be derived from information on the website.
• Always check the most current information before making a reservation.

📌 8. Intellectual property

• Unless otherwise noted, all intellectual property rights of www.clashrooms.nl at ClashRooms Netherlands BV.
• It is prohibited to copy, publish, reproduce or distribute any content, images or services from the website without written permission.

📌 9. Privacy and data protection (AVG)

• ClashRooms only processes personal data necessary to fulfill a booking.
• Data is not kept longer than necessary and never used for other purposes without permission.

• Payments are made through a PCI DSS-certified payment system.

📌 10. Applicable law and disputes.

• These general terms and conditions are subject to Dutch law applicable.
• Disputes are preferably resolved by mutual agreement. If necessary, they will be submitted to the competent court in Eindhoven.

📌 11. Final provision

• ClashRooms reserves the right to change these terms and conditions at any time.
• The applicable conditions can always be consulted at www.clashrooms.nl.
